We are seeking an Accounts Receivable / Accounts Payable Specialist to join our team! In this role, you will be responsible for the financial processing of transactions for the Company.
Responsibilities: Accounts Payable
- Process vendor invoices & review invoices for appropriate documentation/approval/general ledger coding before payment processing
- File/scan all Invoices into the appropriate file
- Reconcile Purchase orders to Invoices by verifying entries and comparing system reports to balances
- Handle invoice discrepancies - check with purchasing and/or contact the vendor for further investigation
- Process credit memos
- Input and update payables to the A/P system, file for payment
- Answer all vendor inquiries
- Update & maintain vendor database
- Send invoices for payment approval
- Verify/obtain W-9 forms and prepare and file Form 1099 forms
Accounts Receivable
- Prepare, process, and post (daily) customer invoices
- Conduct frequent communications with customers for dispute resolution and on-time collection process
- Resolve collections by examining customer payments, and credits and analyzing/reconciling differences
- Obtain trade references and follow up to determine terms for interested customers
- Verify customer terms and grant clearance of sales orders to the Sales team
- Collect on accounts by sending out Invoice notifications, past due notices, and statements; communicating with customers via phone, email, fax, or mail
- Respond to billing inquiries
- Prepare bank deposit
- Record receipts into A/R system
- Collect Resale Certificates as required
Requirements: - Minimum three years of A/P and A/R experience in an office environment
- Proficient in Microsoft Excel and MS Office Programs
- Excellent verbal and written communication skills
