Job Overview
We are seeking a motivated, detail-oriented, and highly organized Part-Time Administrative Assistant to support our team. The ideal candidate will have experience with QuickBooks invoicing, administrative tasks, and managing school transportation contracts. In this role, you'll be an essential part of our team, contributing to smooth operations and accurate financial management. This position offers flexibility, with the option for full or partial remote work.

Key Responsibilities
QuickBooks Invoicing:

Create and send invoices using QuickBooks on a monthly basis or as needed.
Track payments and follow up on overdue invoices.
Maintain accurate records of all invoicing and payments.
School District and Transportation Contract Management:

Reach out to school districts regarding potential contracts and bids.
Manage schedules for students and drivers to ensure proper shift coverage.
Administrative Support:

Respond to emails and phone calls in a timely manner.
Schedule and coordinate meetings, appointments, and events.
Prepare and maintain reports, spreadsheets, and other important documents.
Assist in managing company files and records.
Perform other administrative tasks to support the team as needed.
General Team Support:

Provide assistance to team members to improve overall office efficiency.
Contribute to streamlining office processes and procedures.
Additional Duties:

Answer and direct incoming phone calls appropriately.
Organize meetings and take detailed minutes.
Draft and distribute emails, memos, and letters as required.
Contribute to company reports and maintain an organized filing system.
Help update and maintain office procedures and documentation.
Qualifications
High school diploma or GED required; an associate's degree or administrative training is preferred.
Previous experience as an Administrative Assistant or in a similar administrative role.
Familiarity with standard office equipment, such as printers and fax machines.
Strong computer skills, with proficiency in Microsoft Word, Outlook, and PowerPoint.
Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
